From Excel to integrated workforce planning with SAP Analytics Cloud

Previously, Barco managed its workforce planning using a custom-built tool. It provided a solid foundation, but there was still room to reduce errors and gain deeper insights from the data.

The objective was clear: create one central, digital solution that combines HR data from SAP SuccessFactors with financial insights, while remaining flexible enough to accommodate local requirements and international complexity.

SAP workforce planning in the cloud

Together with Flexso, Barco built a workforce planning solution in SAP Analytics Cloud featuring:

• Integration with SAP SuccessFactors: master and transactional data are automatically loaded and validated.
• Flexible cost calculations: including bonus structures, commissions and local exceptions such as CAO90 in Belgium.
• Export to Hyperion: results are transferred directly to Barco’s financial reporting tool.
• Validation and simulation: users can simulate and compare different scenarios, with attributes such as cost centre and profit centre derived automatically.
• Excel integration: users who prefer working in their familiar environment can continue to do so through an Excel add-on.

Better insights and a real impact on workforce planning

With this project, Barco has taken an important step towards faster, more data-driven workforce planning.

Supported by a multidisciplinary team across HR, finance and IT, planning cycles are now more efficient thanks to automated data loads. Centralised master data and standardised processes also help improve data quality.

At the same time, dashboards and reports bring HR and finance together around the same insights. All within a scalable solution that is ready to support international growth and future expansion.
