GG Group: Offering added value to employees, by digitizing HR

In line with that vision, the group kicked off an ambitious HR digitization project – as a way for HR to add true value to its 4,500 employees.
Founded in Vienna, Austria, in 1940 as a trading agency for raw materials and semi-finished products, GG Group is now a global, family-owned business with 11 locations on three continents. To remain successful in today’s increasingly digital world, the GG Group pursues a clear digitization strategy for all its business processes, including HR.
Streamline and automate all transactional, administrative processes
By digitizing its HR workflows, GG Group aims to achieve four key objectives:
- Free up time for value-add HR jobs and increase the process quality, by embracing technology that encourages growth, innovation and collaboration;
- Create one source of truth for all HR master data across the group;
- Provide management with all relevant employee data at the touch of a button;
- Harmonize HR processes while maintaining local specifications.
The big goal is to streamline and automate the transactional, administrative processes so that HR can really add value for our employees and for our managers.
Standard, proven HR suite
In order to manage the complex HR requirements, GG Group chose the SAP SuccessFactors Employee Central HR suite, which can be easily adapted to meet the different requirements of the individual business units and local branches. In Flexso, GG Group found a long-term partner to meet their implementation needs in a streamlined way.
To speed up the implementation, Flexso used its Accelerator for SuccessFactors approach, which comes with a clear and agile methodology and best practices. The Accelerator for Employee Central creates a proven starting point on which further company-specific adjustments can be made.
Enhancing the employee experience
The establishment of self-service processes for employees and managers has not only reduced the administrative burden of the HR team, but also initiated a cultural change towards empowerment of all stakeholders in internal HR processes. For example, employees can now initiate name changes themselves in the system, and an automated workflow, including an approval process, has also been set up in the system for vacation requests and salary increases.
In addition, SuccessFactors Employee Central acts as an HR data source for numerous other systems, replacing many manual and semi-automated interfaces and significantly reducing double data maintenance efforts.
Moreover, GG Group also implemented SAP SuccessFactors Performance & Goals Management, Learning Management and Succession & Development Management to improve the employee experience and develop next-generation talent.
Clear scope and Flexso Accelerator
When looking back, the following factors were keys to the success of the SuccessFactors implementation:
- Commitment and composition of the project team: all team members were committed to meeting deadlines, with a focus on the quality of the solution and the accuracy of the master data;
- Clear project framework in advance as well as alignment of mutual expectations: thanks to the analyses carried out in advance, each project member had a clear idea of how the project was going to proceed.
- The Flexso Accelerator enabled the project team to deliver the solutions as quickly as possible.
Fit for the future
And the success story between GG Group and Flexso continues. Next on the agenda is the Job Profile Builder, which will allow the HR team to use job profiles with comprehensive job/position descriptions throughout the entire suite, and the SuccessFactors Succession module.
